Information we collect

Depending on how you use our shop, we may collect:

  • your name, email address, telephone number, delivery and billing details;
  • order, payment-status, refund, delivery and customer-support records;
  • account and preference information;
  • photos, names, wording, design instructions and other content you provide for a personalised order;
  • messages, reviews, competition entries and other content you send to us;
  • device, browser, IP address, cookie choice and site-use information; and
  • information used to prevent fraud, keep the service secure and comply with law.

Payment providers process card details. We do not receive or store your full card number.

How and why we use it

  • To take and fulfil an order. This includes creating personalised work from the content you supply, taking payment, delivering the order, handling returns and providing customer support. We use this information because it is necessary for our contract with you.
  • To run and protect the business. We keep appropriate accounts, prevent fraud, secure our systems, manage complaints and establish or defend legal claims. We rely on legal obligations and our legitimate interests in operating a safe, accountable business.
  • To improve our shop. Where permitted, we use limited service and performance information to understand errors and improve the customer experience. Optional analytics or advertising technologies are used only where the required consent has been given.
  • To send marketing. We send marketing where you have asked for it or where the law otherwise permits. You can unsubscribe at any time.
  • To publish customer content. We will not publish an identifiable customer photo, likeness, testimonial or commissioned design merely because it was supplied for an order. We use it publicly only where we have a separate valid permission or another clear lawful basis.

Cookies and similar technologies

Necessary technologies support functions such as the basket, checkout, security and your privacy choices. Optional analytics and advertising technologies require the applicable consent. You can accept, reject or change optional choices through our privacy controls. Rejecting optional technologies does not stop you using the core shop.

Who receives information

We share only what is reasonably needed with service providers that help us operate, such as Shopify, payment providers, delivery companies, email and customer-support services, cloud and security providers, professional advisers, and analytics or advertising providers enabled by your choices. We may also disclose information where law requires it, to protect legal rights, or as part of a properly managed sale or reorganisation of the business.

Some providers process information outside the United Kingdom. Where UK data-protection law requires safeguards, we use an adequacy regulation, approved contractual protections or another lawful transfer mechanism.

How long we keep information

We keep order, payment, tax and accounting records for as long as tax, LLP, consumer and limitation rules require. Personalised-order photos and production files are kept only while needed to make the order, provide support, manage safety or dispute issues, or meet a legal obligation. Marketing information is kept until you unsubscribe or it is no longer useful, with a minimal suppression record retained where needed to respect an opt-out. Security logs, enquiries and cookie-choice records are kept for proportionate periods based on their purpose. A legal hold, safety issue or active dispute may require relevant information to be kept longer.

Your rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability, or to object to processing. Where processing is based on consent, you may withdraw it without affecting earlier lawful use. You may also object to direct marketing at any time.

Email hello@ripleysnest.co.uk to make a request. We may need enough information to confirm your identity and locate the relevant records. We normally respond within one month, subject to the rules that allow an extension for a complex request.

Complaints

Please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.

Children

Our online shop is not directed at children. If you believe a child has supplied personal information to us without appropriate involvement from a parent or guardian, please contact us.

We update this notice when our services or legal duties change. The current version is published here.
